Introduction

MailToSheet Ai is an automated data extraction platform that parses incoming emails and attachments (PDFs, CSVs, Images) and syncs the structured data directly to Google Sheets or Airtable.

It eliminates manual data entry for workflows like invoice processing, real-estate lead capture, e-commerce order tracking, and more.

Getting Started

1. Create a Workflow

After signing up, click "Create Workflow" on your dashboard. You will need to choose your destination:

  • Google Sheets: Provide your Spreadsheet ID and Sheet Name. Remember to share the sheet with our service email (displayed during setup).
  • Airtable: Provide your Base ID, Table Name, and API Key.

Tip: You can upload a sample file (PDF or Email body text) during setup. Our AI will analyze it and suggest data columns for you automatically.

2. Setup Auto-Forwarding

Once created, you will get a unique email address like project.a1b2c3@sheet.mailtosheetai.com.

  1. Go to your email provider settings (Gmail, Outlook, etc.).
  2. Set up a forwarding rule based on criteria (e.g., "from: invoices@vendor.com" or "subject: New Lead").
  3. Forward these emails to your unique MailToSheet address.

Frequently Asked Questions

Is my data secure?

Yes. We do not store your email data. Emails are processed in memory by our AI engine, extracted to your database, and then immediately discarded.

What happens if I exceed my plan limits?

If you reach your monthly document limit, we will pause processing for your workflows. You can upgrade to a higher tier like Pro or Business to resume instantly, or wait for the monthly reset.

Does it work with attachments?

Absolutely. Our system can extract text and data from PDF, CSV, Excel, and Image attachments (JPG/PNG).
